How your clients stay in control

Your accountant works in your Simplebks only when you say so. You decide who gets in, what they can do, what they can post and how long they stay.

10,000+ businesses run on Simplebks.

Nothing starts until you approve

Your accountant's firm invites you by email. You sign in with that email, choose the business to share, review the rights asked for and approve, or decline. Only an owner or an admin can approve, and an unanswered invitation expires after 90 days.

You pick the rights

Pre-ticked: financial statements, VAT and WHT reports, the monthly management report, view-only journals and bank reconciliation. Everything else needs your tick, changeable any time under Settings, People, Accountant Access.

You choose what they can post

Accountants start on Owner approval: journals, opening balances, chart of accounts changes, capital transfers and reconciliation actions wait in Awaiting Approval. You can allow accountant-managed posting or a custom policy any time.

What your accountant can never do

Whatever you tick, your accountant cannot:

  • Record sales or expenses.
  • Delete transactions.
  • Manage your team or roles.
  • Change your plan or billing.
  • Commit a year-end close.

You control full-data export

Your accountant cannot run a full data export unless you tick the Export all business data right. Only an owner or an admin can change this.

Your accountant's team

You choose who at the firm gets in. Adding another person is a request you approve or decline within 30 days, and removing someone ends their access straight away.

Renew or end access at any time

Access lasts 90 days from approval. Choose Renew on the Accountant Access page for another 90 days, or Revoke access to remove your accountant straight away and free their team seat.

Monthly report to your accountant

Simplebks emails your monthly management report from the 2nd of each month. In Notifications you can add your accountant's email to the recipients.

What it costs you

Each accountant staff member takes one team seat: Basic includes 1, Professional 2, Enterprise 5, with extra seats available on all three (see plans and pricing). Free must move to Basic first.

FAQ

Can my accountant change my books without my approval?

Not by default. The basic set is view only. Posting journals, changing the chart of accounts, setting opening balances, capital transfers and reconciliation changes each need a tick from you. Even when you grant them, every accountant link starts on Owner approval, so those actions wait for your approval. You can allow direct posting for all of them or only for the ones you pick.

What can my accountant see?

Only what you tick. The basic set covers financial statements, VAT and WHT reports, the monthly management report, and view access to journals and bank reconciliation. Sales and stock reports, transactions, customers and suppliers each need a tick.

Can I change the rights later?

Yes. Open Settings, People, Accountant Access and change the ticks. The change applies straight away and is recorded with who made it and when.

What happens when I revoke access?

The accountant is removed from your business and signed out of it straight away. Their seat is freed. You can revoke at any time on the Accountant Access page.

Can I extend my accountant's access?

Yes. Choose Renew on the Accountant Access page for another 90 days from that day. Only an owner or admin of the business can renew.

Who at my business can approve an accountant?

An owner or admin of the business can approve an invitation, choose the rights and manage access. Posting requests are approved by the owner in Awaiting Approval.
